Privacy policy

This document explains what personal data FACILITY DISTRIB S.R.L., as data controller, collects when you use sfs.ro, why we use it and what rights you have. The policy complies with Regulation (EU) 2016/679 (GDPR).

1. Who we are

The website sfs.ro presents Smart Facility Systems, the software division of SFS Group.

2. What data we collect

Data you give us. When you fill in the contact or demo request form, you send us:

  • your name (required);
  • your email address and/or phone number (at least one);
  • your company name, if you fill it in;
  • the subject you choose and your message.

When you call us or write to us by email or on WhatsApp, we receive the data you share in that way.

Technical data. The server hosting the website records, like any web server, technical data such as IP address, browser type and pages accessed, for security and operation. To protect against automated messages (spam), the form may use the Cloudflare Turnstile service, and the IP address of people who submit the form is kept for a short time, only in cryptographic form (hash), to limit the number of submissions.

3. Why we use the data

  • To reply to you: to contact you, make you an offer, present a demo or give you the information you asked for.
  • For the security of the website: protection against spam and abuse.
  • steps taken at your request before entering into a contract (the request for a quote, a demo or information);
  • our legitimate interest in replying to messages and protecting the website.

5. Cookies

The website does not use analytics or advertising cookies. Details in the Cookie policy.

6. Who has access to the data

We do not sell or rent your data. Only the following have access to it:

  • the people in SFS Group who handle requests;
  • the hosting and email provider, which stores the data on servers in Romania or the EU and is bound by contractual confidentiality;
  • Cloudflare, only for the anti-spam check of the form;
  • state authorities, only if the law requires it.

7. How long we keep the data

We keep requests received through the form for at most 12 months, unless you become a customer. If you become a customer, the data is kept for as long as the contract and the law require.

8. Your rights

You have the right of access, rectification, erasure, restriction of processing, objection and data portability. For any of these, write to us at contact@sfs.ro. We reply within 30 days at most.

If you are not satisfied with the reply, you can lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (dataprotection.ro).
